The expired certificate that closes a business on a Friday

Nobody buys monitoring. Everybody buys never again getting the call that says "the phones aren't working."

What actually happens

A modern phone system depends on a few things that expire: a security certificate (TLS), a software licence, a domain name, sometimes a registration with the carrier. None of them is spectacular. Each one, the day it lapses, does the same thing: the apps stop connecting, desk phones unregister, and incoming calls hit an error message or go nowhere.

It often happens on a Friday afternoon, because statistically that is a day like any other — and it is the worst time to find anyone.

Why nobody saw it coming

Because nobody was looking. A certificate has an expiry date known months in advance; so does a licence. But that information sits in an admin console the client never opens, and the provider has no reason to open it until someone calls.

What monitoring should watch

What expires or breaksWhen you need to know
TLS certificateThree weeks ahead, red one week ahead — and confirm the certificate being served is the new one, not just that it was renewed
System licenceA month before it lapses
Carrier trunk qualityAs soon as quality degrades, before "it's crackling"
Intrusion attemptsImmediately, and blocked on every server we run, not just the one that was targeted
Nightly backupThe same morning, if it failed
Disk space, memory, loadBefore the server slows down

Every line has a threshold. Every threshold crossed should open a ticket with someone whose job it is — not send an email to an inbox nobody reads.

Why it is rare

Because monitoring doesn't sell. A client compares the price of two systems; they can't compare the outage they won't have. The provider who includes it pays for it out of margin, and the one who doesn't is cheaper on the quote.

We include it in every plan, with an agent on every server, because it is the only promise that gets tested the day things go wrong — and so the only one the client remembers. It is point 4 of what changes with UC365.

The question to ask

"If my certificate expires on a Friday at 4 p.m., who knows before I do?" If the answer is "nobody," you now know your next outage.
